Job Title: Administrative and Accounting Assistant (Fixed-Term)

The Administrative and Accounting Assistant is responsible for assisting management in the operations and accounting functions of the organization. This position is responsible for assisting the Finance Department with the day to day operations and accounting functions of the office. In addition, the position serves as a liaison to all field office personnel and operations of field offices for accounting management. This position is fixed-term for an expected period of six months from date of hire.

Reports to: Director of Finance

Duties:  

  • Provide general administrative support to Finance Department, including but not limited to: answering telephone calls and transcribing messages; data entry and filing; ordering office supplies; assisting with receipt reconciliations; processing incoming and outgoing mail as needed; preparing sensitive information for digital scanning, archiving and filing; handling donation requests; 
  • Support the Director of Finance in accounting tasks and audits as needed;
  • Coordinate with Headquarters and Field staff for incomplete or missing data relating to accounting documentation;
  • Assist with project assignments related to audits, expense reconciliations, campaign finance/legislative reporting and compliance, multi-state charitable registrations, business and tax registrations, among other things;
  • Support project management including preparation of documents and follow-up on timeliness and deliverables;
  • Other duties and projects as assigned.

Qualifications:

  • A bachelor degree with emphasis in accounting desirable or equivalent experience required;
  • Experience working in an administrative and or accounting capacity preferred;
  • Non-profit experience desirable;
  • Experience working for or within a union environment preferred;
  • Detail oriented and organized;
  • Ability to meet assigned deadlines and work under pressure;
  • Excellent communication skills and interpersonal skills;
  • Proficiency in Microsoft Office applications;
  • Experience working with Accounting Software, Quickbooks preferred.
